Assistant Director - Operations
Position Title: Assistant Director - Operations
Division – Operations: The Operations division oversees the financial, human resource management, operations, administrative support, outsourced contractors and meeting coordination of the organization.
Position Purpose: Manage the internal operations and financial affairs of NASDCTEc/NCTEF
Primary Responsibilities:
- Serve as primary human resource contact, benefits and payroll administrator; assure that organization policies and procedures, decision making systems (such as, travel, procurement, performance management systems ) are followed and revised as necessary; prepare and coordinate all information for new hires; facilitate professional development for self and staff; address performance issues
- Lead the overall budget development process for both organizations working with the Executive Director and provide to all staff the necessary information to develop the annual budget; develop and manage Operations department budget
- Manage the financial records for NASDCTEc and NCTEF; develop and manage all budget and financial reporting for the organizations in compliance with federal and state legislation; oversee annual audit
- Assume decision making for all administrative functions within NASDCTEc/ NCTEF in the absence of the Executive Director
- Manage the clusters product operations, RFP process and vendor contracts
- Manage direct reports’ work, provide guidance and mentor as required to achieve successful completion of goals and objectives; perform annual performance plan and regular review process
- Develop an ongoing understanding of the career technical education environment and the role of NASDCTEc/NCTEF in serving the career technical education community
- Ensure that all internal/external communication and public relations activities are implemented and executed in a timely and accurate manner; oversee the creation of the annual communications plan and maintenance of communication vehicles; such as, website, brochures, newsletters, press releases, etc
- Participate to set strategic direction and to ensure that the goals and objectives of NASDCTEc/NCTEF are accomplished
- Oversee the Fall/Spring meeting and Career Cluster Institute logistics
- Required to occasionally travel, staying within established spending guidelines, and requested to work flexible hours in response to member requests and actions; as well as, attend conferences and board meetings in the early morning hours or late evenings
- Other duties as assigned
Qualifications
- Bachelor’s degree or equivalent with focus on business administration, finance or accounting plus five years of related experience in management/office management and finance/accounting or related field and three years supervisory experience
- Ability to develop and maintain positive relationships with a wide variety of people, including but not limited to, vendors, meeting sponsors, board members, staff, state directors, key stakeholders
- Knowledge of the field of education
- Familiarity with government and non-profit financial reporting regulations
- Excellent organizational skills
- Excellent English language oral and written communication skills, proficiency in spelling, punctuation, grammar, basic business math and skilled report preparation
- Ability to work independently, accurately and meet deadlines; simultaneously manage multiple projects/tasks
- Ability to think critically and use good problem solving judgment
- Knowledgeable of standard office equipment such as personal computer, laser printer, typewriter, copy machine, telephone, calculator, fax machine, scanner, LCD projector, etc.; including proficiency with computer software programs, such as, Windows 2000, Word, Excel, PowerPoint, QuickBooks and Access
- Handle confidential and sensitive information with discretion
- Hold a valid driver’s license within the commuting areas, have access to a reliable car with current insurance or access to a reliable/flexible transportation source
Supervision Received: The Associate Director – Operations works under the direction of the Executive Director
Supervision Exercised: The Associate Director – Operations directly supervises the Marketing and Communications Manager and the Information and Customer Service Specialist
